What is the PRemployer Intake Process?

Working with a Professional Employer Organization (PEO) comes with countless benefits to both you and your employees. It provides your business with incredible cost-savings and a positive Return on Investment (ROI).

But what happens right after you decide to work with a PEO?

Most will do their entire new client intake process remotely through online forms.

For PRemployer, intake is the most important part of becoming a client and is done in-person. That’s because our relationship with you, your employees, and your entire company begins during the intake process. The following will help you better understand your intake process with PRemployer. 

Intake Phases

When you hire a new employee, they may have questions about what their first day and first week will look like. When you decide to partner with a PEO, you have similar questions. These stages give you an idea of what to expect when joining the PRemployer family:

 

Pre-Launch

Before your company receives services from your PEO, you collaborate to determine the timeline that best meets your needs. Setting deliverables during this timeline ensures that both parties meet their goals.

Your PEO will also help you adopt a  PEO mindset. You may not be used to having someone other than your employees conduct HR administration and payroll tasks. Understanding what to expect can make you and your team more welcome to this change.

 

Initial Visit

While your company works through the intake process, you will also receive an in-person visit from a PRemployer representative. This representative will answer all of your team's questions about what to expect with a PEO partnership.

Your PEO representative will explain the direct deposit process for your employees and inform them of when they should receive that deposit in their bank account. They will also train your team on how to use the time-keeping system if you choose to use it. 

We want to get to know every employee, give them the information they need, and answer all of their questions. The goal of this employee onboarding process is to explain PRemployer's services and how the partnership will benefit them.

Your PEO representative will also make sure you start off the right foot from a compliance perspective. As an employer, you are required to post legal notices in a clear and open space in your office. The representative will bring these compliance posters to you, help you hang them, and include a welcome book for you to review.

 

HR & Benefits Meeting

The next step is to work together to discover your HR and benefits goals. You may choose to retain some HR tasks internally. You may want to completely revamp your benefits offering or include additional benefits, like retirement plans.

When your PEO understands your goals for HR tasks and benefits requirements, you can work together to meet those goals. These discussions will ensure both you and your PEO are on the same page as you develop your partnership.

 

First Payroll

At this phase of the intake process, a Payroll Implementation Specialist will reach out to you or an internal employee who will serve as the payroll point of contact. Your Payroll Implementation Specialist will help your business set up proper payroll processes and tax reporting procedures.

Payroll is one of the most important items for your employees. Many small businesses struggle with keeping payroll consistent. Your PEO takes over the entire payroll process for you, providing structure and guidance. 

 

Post-First Payroll

After PRemployer has successfully completed your first payroll, we do not stop supporting you. Your PEO will continue providing guidance and instruction through User Support Specialists.

You will receive one-on-one and hands-on training that helps you and your internal payroll representative feel confident in their use of our payroll system. This helps to ensure that everyone understands how to access their payroll records while also keeping confidential business records secure and compliant.

 

Strategic Phase

This phase is a high-level analysis of your business operational needs. We can help determine where your company may have process gaps that we can help fill.

We provide this additional benefit to you as part of PRemployer's service. Not all PEOs provide this extra level of detail with their service to clients.

Client Relations Manager

Your Client Relations Manager partners with you from contract signing to 90 days after starting to ensure your expectations and timeline are met. Each company has unique needs and your Client Relations Manager can help identify those to ensure you get the best service from your PEO. 

After the intake process is complete, your Client Relations Manager will then check back in with you to make sure your PEO met your needs.
